By accessing and using the e-Logbook Medical Education Platform ("System"), you accept and agree to be bound by the terms and provisions of this agreement. If you do not agree to these terms, please do not use this System.
This agreement applies to all users of the System, including students, supervisors, faculty members, coordinators, hospital administrators, and any other authorized personnel.
2. User Registration and Account
2.1 Registration Requirements
- You must provide accurate, current, and complete information during registration
- You must be affiliated with a registered educational institution
- You must have appropriate authorization for your selected role
- All registrations are subject to approval by authorized coordinators or administrators
2.2 Account Security
- You are responsible for maintaining the confidentiality of your login credentials
- You must not share your account with others
- You must notify us immediately of any unauthorized use of your account
- You are responsible for all activities that occur under your account
2.3 Account Termination
We reserve the right to suspend or terminate your account if you violate these terms or engage in activities that may harm the System or other users.
3. User Roles and Responsibilities
3.1 Students
- Maintain accurate and truthful records of all activities
- Complete profile information honestly and completely
- Submit activities and appraisals by required deadlines
- Respond to supervisor feedback professionally
- Make required payments on time
- Not falsify or plagiarize any content
3.2 Supervisors and Faculty
- Review student submissions in a timely manner (24-48 hours)
- Provide fair, unbiased, and constructive feedback
- Maintain consistent evaluation standards
- Verify student profile information accurately
- Protect student confidentiality
- Report any suspected misconduct
3.3 Coordinators and Administrators
- Process registration requests promptly
- Maintain fair and consistent approval standards
- Monitor department performance objectively
- Protect user data and privacy
- Ensure academic integrity
4. Acceptable Use Policy
4.1 Permitted Uses
- Logging legitimate academic and clinical activities
- Submitting appraisals and assessments
- Providing and receiving feedback
- Tracking academic progress
- Communicating with supervisors and coordinators
4.2 Prohibited Activities
- Submitting false, misleading, or fabricated information
- Plagiarizing content or claiming others' work as your own
- Accessing or attempting to access other users' accounts
- Interfering with the System's operation or security
- Using the System for any unlawful purpose
- Uploading malicious software or code
- Harassing, threatening, or abusing other users
- Sharing login credentials with unauthorized persons
⚠️ Warning: Violation of the acceptable use policy may result in immediate account suspension, academic disciplinary action, and potential legal consequences.
5. Academic Integrity
All users must maintain the highest standards of academic integrity. This includes:
- Truthful reporting of all activities and experiences
- Original work in all submissions
- Proper attribution of sources and references
- Honest representation of clinical encounters
- Ethical conduct in all interactions
Violations of academic integrity will be reported to institutional authorities and may result in severe disciplinary action, including expulsion from the program.
6. Data Privacy and Security
6.1 Data Collection
We collect and store information necessary for the operation of the System, including:
- Personal information (name, email, contact details)
- Academic information (enrollment number, course, department)
- Activity logs and submissions
- Assessment and appraisal data
- Documents and certificates
- Payment information (processed securely through third-party gateways)
6.2 Data Usage
Your data will be used exclusively for:
- Educational and academic purposes
- Performance tracking and assessment
- System administration and support
- Institutional reporting and compliance
- Communication regarding your account
6.3 Data Protection
- All data is stored securely using industry-standard encryption
- Access is restricted to authorized personnel only
- We implement appropriate security measures to protect your data
- We comply with applicable data protection laws and regulations
6.4 Data Sharing
We will not share your personal information with third parties except:
- With your explicit consent

7. Payment Terms
7.1 Fees
- Payment amounts are determined by your institution
- Fees are typically charged annually per academic year
- All fees must be paid before accessing full system features
- Payment is processed through secure third-party payment gateways
7.2 Payment Processing
- We use Razorpay for secure payment processing
- We do not store your complete payment card details
- Payment confirmations are sent via email
- Receipts are generated automatically
7.3 Non-Payment
Failure to complete required payments may result in:
- Restricted access to system features
- Inability to submit activities or appraisals
- Hold on academic progression
- Account suspension
8. Intellectual Property
8.1 System Content
All content, features, and functionality of the System (including but not limited to text, graphics, logos, icons, images, software) are the exclusive property of the e-Logbook System or its licensors and are protected by copyright, trademark, and other intellectual property laws.
8.2 User Content
- You retain ownership of content you submit to the System
- You grant us a license to use, store, and display your content for system operation
- You represent that you have the right to submit all content you upload
- You are responsible for the accuracy and legality of your content
8.3 Restrictions
You may not:
- Copy, modify, or distribute System content without permission
- Reverse engineer or attempt to extract source code
- Remove copyright or proprietary notices
- Use the System's branding or trademarks without authorization
9. Service Availability
9.1 System Access
We strive to provide continuous access to the System, but we do not guarantee:
- Uninterrupted or error-free operation
- That defects will be corrected immediately
- That the System is free from viruses or harmful components
9.2 Maintenance
- We may perform scheduled maintenance with advance notice
- Emergency maintenance may be performed without notice
- We will minimize disruption to your access
9.3 Service Changes
We reserve the right to:
- Modify or discontinue features
- Update system requirements
- Change fee structures (with advance notice)
- Improve and enhance the System
10. Limitation of Liability
To the maximum extent permitted by law:
- The System is provided "as is" without warranties of any kind
- We are not liable for any indirect, incidental, or consequential damages
- Our total liability shall not exceed the fees paid by you
- We are not responsible for loss of data due to technical issues
- You are responsible for backing up your important data
Note: Some jurisdictions do not allow limitation of liability, so these limitations may not apply to you.
11. Indemnification
You agree to indemnify and hold harmless the e-Logbook System, its operators, affiliates, and employees from any claims, damages, losses, or expenses (including legal fees) arising from:
- Your use of the System
- Your violation of these terms
- Your violation of any rights of another party
- Your content or submissions
12. Dispute Resolution

These terms shall be governed by and construed in accordance with the laws of India, without regard to its conflict of law provisions.
12.2 Jurisdiction
